Media/digital assets management system

Frontex

Frontex seeks to release greater value from its growing media archive by sharing it with its national partner authorities, service providers, the press and other third parties. Frontex's expectation is that implementation of a media/digital asset management system (MDAM) shall meet, among others, the following objectives:
1. to facilitate the intake of media files into Frontex's archive by allowing material to be submitted directly via password-protected access either via the Frontex intranet, or via the Internet by contributors from different geographical locations;
2. to facilitate the management and secure distribution of media assets internally (intranet access) and externally (Internet access) with the aid of protected access controls;
3. to facilitate the business process through greater integration and collaboration between multiple content-producing entities within Frontex and outside (i.e. external service providers, Member States' partners);
4. to facilitate the use of media assets by non-proficient users of photo, video and graphics editing suites thus increasing the quality of communication materials and better alignment with corporate visual identity;
5. to provide a greater degree of automation, coherence and centralisation in the management of media assets (including publishing on Frontex's websites and social media), thus increasing efficiency of communication products creation and reducing operating costs;
6. to facilitate the annotation of media files, including among others the addition of caption, location, date and keyword metadata, such that relevant media files will be easily retrieved using efficient search engine technology;
7. to improve the ability to track and record the usage of downloaded media files such that visual resources can be used effectively and appropriately. That will allow database administrators to review and analyse the usage history of Frontex's media assets.
